Getting started

What does OmniLedger actually replace?
For most people: a scheduling app, an invoicing tool, a spreadsheet price list, and the phone photos that were standing in for job records. It keeps one record of the job so those pieces stop having to be reconciled by hand.
Which trades is it built for?
HVAC, electrical, plumbing, landscaping and general contracting have their own starter price books, and it works for agencies and other project-based businesses too. Pick your trade at setup and the defaults match your work rather than someone else's.
How long does setup take?
Creating an account and booking your first job takes a few minutes. Getting your real price book and client list in takes longer — an afternoon is realistic if you're moving from a spreadsheet.
Do I need to install anything?
No. It runs in a browser, including on a phone. The calendar feed connects to Apple Calendar, Google Calendar or Outlook through a link, with nothing to install there either.

Money and billing

Can my customers pay by card through OmniLedger?
Not yet. Payments are recorded as bookkeeping entries — you mark an invoice paid by cheque, card, transfer or cash, with an optional reference. Card collection is built behind a provider interface but no payment processor is connected, so no card details pass through the system at all.
What does it cost?
Nothing during early access, and billing isn’t switched on. See pricing for how it will be packaged. We’ll publish the numbers and tell existing accounts before anything is charged.
Will my subscription auto-renew?
There's no subscription to renew yet. When paid plans start, the price, billing period and any renewal terms will be shown before you buy, and you'll be able to cancel future renewals from your account.

Your data

Who owns the data I put in?
You do — your clients, jobs, quotes, contracts, invoices, photos and files. We hold the permissions needed to run the service for you and nothing more. It’s stated in the Terms of Use, not just implied.
Do you sell my data or advertise against it?
No to both, and no targeted advertising or profiling either. The Privacy Policy states this explicitly because Texas law requires it to.
Can another contractor see my customers?
No. Every record is scoped to the organization that owns it, and that separation is enforced in the database itself rather than by the application remembering to filter. Files are stored privately under per-organization paths.
Is my data safe?
We use encryption in transit, hashed passwords, database-level isolation between organizations, private file storage reached only through short-lived links, role-based access, and session expiry after inactivity. We won't tell you it's impossible to breach, because no honest company can say that. If a breach affects Texas residents we notify affected people and, where the law requires it, the Attorney General.
Can I get my data out?
Yes. Self-serve export is being built; until it ships, ask us and we'll produce it for you. If you close your account the data stays available for a reasonable period so you can take it with you.
Do photos I upload include my customer's location?
Phone cameras often embed GPS coordinates in a photo's metadata. OmniLedger re-encodes images in your browser before they upload, which drops that metadata. On a browser too old to do this, the original file uploads rather than your upload failing.

Team and access

Can I limit what my technicians see?
Yes. There are four roles — owner, admin, manager and technician — and technicians see only the jobs assigned to them, along with their own expenses and their own calendar feed. They don't see the whole board or the business's financial picture.
Can I run more than one business from one login?
Yes. Organizations are separate workspaces with separate data, and you switch between the ones you belong to without signing out.
What happens if someone shares their calendar link?
Treat it like a password. A calendar app can't sign in, so the link itself is what grants access, and anyone holding it can read that schedule. If one gets out, generate a new one from settings — the old link stops working immediately.

What's missing

Is there a mobile app?
Not yet. The web app works on a phone browser and the calendar feed already reaches native calendars. Dedicated iOS and Android apps are the next major piece of work, and the system was designed from the start so they can be built without rewriting the back end.
Do you have timesheets and profit reporting?
Yes. Crews clock in against a job from their phone, and those hours are costed at each person's rate and added to materials, so every job shows what it actually made rather than what it billed. The same figures produce your break-even hourly rate — overhead plus labour divided by the hours you can genuinely bill. Payroll export is not built yet; the hours are there to export by hand.
What if I need something that isn't there?
Tell us. We're small enough that a good suggestion from someone actually doing the work has a real chance of getting built, and honest enough to say when it won't be.
